2. Terms & Conditions, Cancellation and Refund Policy

2.1

Author Presentation and Publication

2.1.1	In order to deliver the accepted submission, authors are required to be present at the conference.
2.1.2	Author also comprises Co-Author.
2.1.3	Presentation for which the fee is not paid by the Regular Fee deadline will be deleted from the program.
2.1.4	The conference proceedings can only contain camera-ready, IEEE Explore Compliant® articles.
2.1.5	The organizer retains the right to omit any unpresented papers from the conference proceedings in accordance with the IEEE no-show policy.
2.1.6	Please be aware that the conference organizers do not promise that accepted papers will appear in IEEE Xplore® or be indexed in other databases such as Scopus, SCI, EI, etc. The relevant organizations make the decisions on indexing.

2.2

Registration and Fee Payment

2.2.1	Completing the online registration form and paying the required amount are prerequisites for participation confirmation.
2.2.2	Fees must be received in Singapore Dollars.
2.2.3	If you choose “Member Category”, a membership ID is required.
2.2.4	If you choose “Student Category”, a student proof is required. This can include a current student ID, an official letter from your institution or any other document verifying your enrollment. Please upload the required proof during the registration process to enjoy the discounted rate. Every document needs to be written in English.
2.2.5	For Late/Onsite payment, all conference issues are while stocks last.
2.2.6	Each paid fee covers the presentation of ONE Accepted Submission (Paper/Abstract).
2.2.7	Extra fee is payable for each additional presentation. The limit is 3 presentations max per author presenter.
2.2.8	If a final paper exceeds five pages (including references), an additional page length fee must be paid. A paper may only be up to eight pages long, including references.

2.3

Cancellation and Refund

2.3.1	There are no refunds for any fees paid.
2.3.2	Author/Presenter, General Attendee We welcome a substitute in your place at no additional cost if you are unable to attend the event, as long as we are notified of the name of the replacement at least 2 weeks in advance and received full payment.
2.3.3	Ancillary Events Only for conference participants. 100% payment will be forfeited for no show/booking cancellation. Refund 100% if organizer cancels. Participants agree to indemnify organizer against any claims as arising from injury or loss sustained during the outings.

2.4

How to Register

2.4.1	How can I set up an account for myself and perform all essential functions in the online conference management platform? To set up a user account, log onto the portal – Click “LOGIN” on the conference homepage and follow the “Create A New User Account” instructions.
2.4.2	You can use your existing user account for future events without needing to create a new one.
2.4.3	You can register for the conference by navigating to the “Registration” section after logging into your account.

3.1.2	For securing Card-Not-Present (CNP) transactions against fraud, Visa and MasterCard are required to be 3D Secure enabled or payment requests will be declined. If your credit card is not 3D Secure enabled, please get in touch with your card issuer/bank to request for it to be enabled.

4.	Disclosure of Personal Data Meet Matt will take reasonable steps to protect your Personal Data against unauthorised disclosure. Subject to the provisions of this Act and any applicable law, this Personal Data may be disclosed, for the purposes listed above (where applicable), to the following third parties, whether they are located overseas or in Singapore: Meet Matt service partners; Agents, contractors or third party service providers who provide operational services to Meet Matt, services such as telecommunications, technology, payment, payroll processing, training, market research, freight handling and immigration brokering services, delivery or other services to Meet Matt; Vendors or any third party business partners who offer goods and services or sponsor contests or other promotional programmes on Meet Matt’s sites, whether in conjunction with us or not; External business partners in relation to meetings, exhibition and conventions that Meet Matt manages; The Credit Bureau or in the event of default or disputes, any debt collection agencies or dispute resolution centres; Anyone to whom we transfer or may transfer our rights and duties; Banks, credit card companies and their respective service providers; Our professional advisors such as our auditors and lawyers; Relevant government regulators or authority or law enforcement agency to comply with any laws or rules and regulations imposed by any governmental authority; and Any other party to whom you authorize or disclose your personal data

Please note that if your Personal Data are provided to us by a third party, you should contact such party directly to make any queries, feedback, and access and correction requests to Meet Matt on your behalf. Please note that if you withdraw your consent to any or all use of your Personal Data, depending on the nature of your request, Meet Matt may not be in a position to continue to provide its products or services to you or administer any contractual relationship in place, and this may result in the termination of any agreements with Meet Matt and your being in breach of your contractual obligations or undertakings, Meet Matt’s legal rights and remedies in such event are expressly reserved.
7.	Retention of your Personal Data Your Personal Data will not be retained when the purpose for which the personal data was collected is no longer being served by the retention of the data; The retention is no longer necessary for legal or business purposes;
8.	Transfer of your Personal Data We will not transfer your Personal Data to a country or territory outside Singapore except in accordance with the requirements prescribed under the PDPA.
9.	Governing Law This Privacy Policy shall be governed in all respects by this Act and the laws of Singapore.
