We recognize that submission of full paper may be a tedious and daunting task. This option is tailored for authors who prefer to be excluded from the publishing process.

1. Policies
1.1 By making a submission, the author commits to attending the conference.
1.2 By submitting, you give the organizers permission to publish and distribute your work electronically.
1.3 All submissions will be peer reviewed through a single-blind review process.
1.4 Every document needs to be written in English.
1.5 Unless special arrangements are made, all presentations must be given in person at the conference, which is an in-person event. Noncompliance will result in a no-show record for presenters.
1.6 The presenter needs to be one of the accepted paper's coauthors. If the author or co-author does not deliver the presentation, it will be classed as a no-show unless prior agreements are made.
1.7 The organizer retains the right to omit any unpresented papers from the conference proceedings in accordance with the IEEM no-show policy.
1.8 Submission of abstract implies acceptance that the abstract will not be included in the IEEM2025 conference proceedings.

2. How Do I Make A Submission
2.1 Set up a user account needed to perform all essential functions in the online portal. On the conference homepage, click "LOGIN/SIGN-UP" and follow the "Create A New User Account" instructions.
2.2 Log into the portal (with your email and password) and follow the submission guidelines given in the "My Submissions" section of the Attendee Options dashboard.

3. Format & Guidelines
3.1 From the list of topics, select at least ONE Primary and ONE Secondary topic. The topics must be related to your submission. This information will be used by the committee for assigning appropriate reviewers and scheduling sessions.
3.2 Author of full paper must use the use the IEEM Paper Template to prepare your article. Each paper should not be more than 5 pages (Reference page(s) included).
3.3 Abstract only authors must enter the text in the designated text box. Abstracts should be between 100 & 180 words contain text. No figures, photos or illustrations are allowed in the abstract. The inclusion of trade names/brand names is not allowed in the abstract.

Guidelines & Requirements

Note: The guidelines and requirements in this section are additional to those outlined in the Policies section of this website.

1.1. IEEE Xplore® compliant final paper is not required of abstract only acceptances.
1.2. Only final papers covered by a paid registration by the stated deadline will be included in the conference proceedings.
1.3. Please be aware that the conference organizers do not promise that accepted papers will appear in IEEE Xplore® or be indexed in other databases such as Scopus, SCI, EI, etc. The relevant organizations make the decisions on indexing.
1.4. All final papers will go through similarity check through an IEEE software system and papers with a high similarity score (>30%) will have to be revised or rejected.
1.5. The submission complies with these IEEE requirements:
  1. Follows the specified format
  2. Transfer the copyright transfer via the electronic IEEE Copyright Form (eCf)
  3. The PDF File is IEEE Xplore® Compliant
  4. Passes the IEEE plagiarism check with a similarity score of less than 30%
  5. Every document needs to be written in English and the level of English is acceptable
  6. By 25 Sep 2025, all documents must be uploaded via the EMSY the conference's online portal portal

How to Prepare & Format Your Paper

1.1 Strictly follow the given format based on IEEM Paper Template
Standard paper length is 5 pages including any references, attributions, figures, tables, etc.
Please do not reduce the font size or change font types to shorten submissions.
1.2 Notice to Authors
  1. All personal particulars will be automatically extracted from the information in your EMSY user profile, the conference's online portal. Therefore, it is crucial that you maintain an updated user profile.
  2. The standard paper length is 5 pages. An extension of up to 8 pages may be permitted, but an additional charge will apply for each extra page beyond the standard limit.

The paper must be submitted in Adobe's Portable Document Format (PDF). The PDF file must pass the compatibility test in the IEEE PDF eXpress®. Your paper cannot be included in the proceedings if it fails the compatibility test. IEEE PDF eXpress® allows you to convert your Word, LaTeX, or range of other source files into IEEE Xplore® compatible files (preferred option). You may also use PDF eXpress® to check your own PDF files for compatibility. Do note that IEEM does not accept LaTex file type.

2.1 Go to the IEEE PDF eXpress® website at https://ieee-pdf-express.org
2.2 Click on "New User" option to create your own IEEE PDF eXpress® account

2.3 Upload file accordingly
2.4 Proofread the generated PDF file. If there are any missing symbols, equations, graphs or other errors, please re-prepare the source file and upload file once more. If problem persists, please use the online help provided in the IEEE PDF eXpress® site.

CAUTION: Until your PDF file is IEEE Xplore-compatible, DO NOT go to Step 3 below. Only IEEE Xplore-compatible papers can be published. If you have more than one paper, please be sure to submit each paper separately.

3.1 Log in to EMSY. Click "My Submissions" to submit your final paper (Source file in Word Document format and PDF file). Do note that LaTex file types are not accepted.
3.2 If applicable, ensure your author list, the paper title, your affiliation and the abstract match your final paper. To update/correct your name and affiliation, you could edit it under "My Profile". The final program and conference proceedings will be prepared according to information that you provide here.
3.3 Sign the IEEE Copyright Transfer Form electronically. Upon submission of the IEEE Copyright Form, you should receive a confirmation e-mail from IEEE with an attached Copyright Receipt (PDF File).


Organizing Special Sessions

You are welcome to organize special session at IEEM2025. The goal of these special sessions is to provide a forum for focused discussion on new topics or innovative applications in established approaches. A special session could address a particular theme consisting of scientific research or project work done. Each organized session should have a minimum of 6 presentations and only accepted abstracts or papers of author presenters may be considered.

Each session is limited to no more than two organizers and the session organizer can designate a chair and co-chair for the session. Only registered participant can be designated as a session chair to avoid no show onsite. The allocated presentation time for each presentation is 15 minutes that includes the time for questions from the audience.

IEEM2025 is a community conference, organized by volunteers. There is no financial subsistence provided for session organizers, session chairs, and invitees. All IEEM participants including session organizers, chairs and invitees are required to register and pay registration fee.

Procedure:

    1. Special Session Title
    2. A Short Description (2-3 lines) and covered topics
    3. Presenters’ Particulars must include:
      • Name, Affiliation and Contact
      • The Title of their Submitted Abstract or Paper
